How to Evaluate a Software Free Trial in 7 Days

Treat the Trial Like a Project

Most people open a free trial, click around for ten minutes and forget it. With a plan, seven days is enough to decide. Before you start, write down your three must-have tasks and what "good enough" looks like, then decide who in your team will test it.

Day 1: Set Up With Real Data

Add your real services or products, prices, staff and opening hours. Using real data exposes problems that demo data hides. Note how long setup takes and how clear it is without help.

Day 2: Run Your Main Task

Complete your most common job end to end: take a booking, ring up a sale or send an invoice. Count the clicks and time it against your current method.

Day 3: Test the Edge Cases

Try the awkward situations: a refund, a cancellation, a part-payment, a customer who changes their mind. These reveal limits quickly.

Day 4: Check Integrations

Connect your accounting software, bank feed or payment provider and confirm data flows both ways. For anything involving tax, check the product supports Making Tax Digital where it applies to you.

Day 5: Test Support

Ask a real question through the support channel and judge the speed and quality of the answer. Support during a trial is the best it will ever be, so a poor response is a strong warning.

Day 6: Involve Your Team

Have a colleague complete a task with no guidance from you. If they struggle, training time and mistakes will cost you after launch.

Day 7: Decide and Check the Exit

Score the product against your must-haves. Check how to export your data and whether cancelling during the trial is simple, so you do not start paying by accident. Put the trial end date in your calendar from day one and cancel anything you will not use.
