Shopify and Xero Integration: A UK Store Owner's Reconciliation Checklist

A Shopify–Xero connection should help you explain the money arriving in your bank, not simply copy sales into another screen. Before installing an app, choose whether you need order-level detail, payout reconciliation or inventory management. Those are different jobs, and a connector that does one does not necessarily solve all three.

The first check: identify the exact connector, developer and country support. “Integrates with Xero” is too broad to tell you how refunds, fees or stock will behave. Keep our Shopify and Xero product overviews alongside the app's current documentation.

Three workflows to distinguish

Choose the level of detail your bookkeeper can maintain. A large number of individual records is not automatically better than a well-explained summary. Conversely, a summary is not a substitute for product-level stock control. Agree on the purpose before you compare subscription prices.

What an app listing proves, and what it does not

The Bold XERO Order & Inventory Sync listing describes order export and inventory-related features. It also lists USD billing and order allowances with potential usage charges. That is evidence for this specific app's advertised workflow, not a recommendation or confirmation that every UK store configuration works.

Xero's US integration documentation describes a separate daily-sales connection and warns about overlapping financial imports with Inventory Plus. Because that article is US-specific, do not use it as proof of UK availability. Its practical lesson is to identify existing importers before adding another one. Ask the provider to confirm your country, plan and channels explicitly.

The setup questions worth answering first

  • Which app already posts Shopify sales, if any?
  • What date should the new import start, and what history is already recorded?
  • Does the connector include Shopify POS as well as online sales?
  • Which payment gateways and currencies does it support?
  • How are partial refunds, discounts, shipping and gift-card activity represented?
  • Who resolves an unmatched payout or a failed import?

Take screenshots of mappings and retain the provider's answer. Do not infer country support from an English-language listing. If your app bills in USD, budget the app bill in its original currency and make the GBP conversion an explicit assumption.

A small reconciliation test

Use a test environment where supported, or have your bookkeeper approve a controlled sample before importing a full trading period. Choose a normal sale, a discounted sale, a partially refunded order and a payout containing fees. Record their IDs and dates so you can trace them on both sides.

Illustrative settlement: £1,000 of captured payments minus £100 of refunds and £25 of fees produces £875 before any other adjustments. Check whether the actual settlement also includes reserves, currency conversion or activity from a different date. This arithmetic is a diagnostic example, not tax-accounting advice.

Match each sample against the connector's expected records. Confirm that the bank-feed deposit is reconciled to existing activity rather than entered as another sale. Test the provider's documented retry workflow and look for duplicates. Leave automatic approval disabled until you understand what a complete import looks like.

Why the totals sometimes differ

Start with scope: you may be comparing orders placed today with a payout covering payments from several days. Next inspect refunds, payment-provider fees, timezone boundaries and unsettled transactions. Do not change tax settings simply to force totals to agree. A mismatch should have an explanation and a traceable source record.

For stock discrepancies, check which system owns quantities and whether other apps also update them. An accounting connection can work correctly while inventory remains a separate task. Document that boundary for staff rather than calling the whole setup broken.

Is the connection free?

The accounting subscription, shop subscription and connector are separate items. Some connectors have usage limits or paid plans; check the exact app rather than assuming all Xero connections share one price.

Can I use two connectors?

Only if their responsibilities are deliberately separated and tested. Two apps posting the same sales create a duplicate-record risk. Have one documented owner for each financial workflow.
